Auction assistant – Shipping & Warehouse
About us:
Join our Monte Carlo auction house, active for 7 years, specializing in fine art, design, wines, jewellery, books, and more. The work is fast-paced and varied.

The role:
The role involves logistics and shipping activities, working closely with the Senior Manager, Administrator, and Auction Assistant. Responsibilities include, but are not limited to, art handling, stock inventory management, temporary import oversight, obtaining export licenses, and ensuring compliance with relevant laws and regulations. You will also be responsible for managing and transferring auction inventory using the in-house digital system.
- Manage the in-house warehouse inventory system.
- Digitalize complete inventory.
- Handle shipping and logistics inquiries before and after auctions.
- Work closely with the Administrator and Auction assistant to deliver exceptional client service.
- Monitor the progress of shipments and deliveries.
- Oversee warehouse activities, including but not limited to lot receipt/release, all internal/external movements.
- Coordinate auction-related paperwork with security and insurance agents.
- Arrange restoration and framing work as needed.
- Track and update temporary import releases, coordinating with customs brokers and shippers to ensure all procedures are completed.
- Apply for required licenses and shipping documentation (e.g. CITES, ATA Carnet, French, and international export licenses) paperwork as required for the lots movement, ensure the accuracy of the information and its timely submission.
- Maintain and scan all required documentation for shipment and storage.
- Conduct condition reports for received objects and share with clients pre-auction.
- Support Senior Manager during photography sessions, ensuring accurate. inventory tracking.
- Assist in organizing preview lists, exhibition room reservations, and event setups.
- Perform other relevant tasks, projects and directives as assigned by the Director and Senior manager.
- At least 1-2 years of experience working in auction houses, art galleries, warehouse departments, or professional art shipping companies.
- Previous experience working with digital warehouse systems.
- Previous experience in obtaining customs documents, Carnet ATA, CITES, French export licenses and passports.
- University bachelor’s degree or equivalent.
- Positive ‘can-do’ attitude.
- Strong motivation.
- Languages: Fluent in French and English, Italian is a plus.
- Strong sense of efficiency and organization, able and willing to take responsibility.
- Ability to work independently and as part of a team.
- Enthusiasm for learning and growing in the role.
- Detail-oriented with the ability to manage multiple, complex projects simultaneously under tight deadlines.
- Passion for art and a willingness to broaden knowledge.
- Strong IT processing skills e.g., MS Word, Excel, Outlook, ability to learn in-house software systems.
- Driving license is a plus.
- Ability to travel between Monaco office and storage locations, as required.
- Flexibility to work overtime and weekend hours when required.

Auction Assistant-Administrator

The role:
As an auction assistant-administrator, you will work closely with the Director, Senior manager, Administrator, Shipping Assistant, and external experts. The work is varied and includes tasks including consignment and client registration, compliance management, stock inventory oversight, post-sale tasks, finance-related activities.
You will be responsible for completing requests promptly and maintaining high standards of organization and accuracy. You will also help ensure smooth office operations and work well with a highly efficient team.
- Manage general office inquiries, including coordinating office emails, responding to telephone inquiries, and ordering office supplies, etc.
- Track compliance procedures, ensuring all requirements are met, records maintained, and escalating issues to the Director or Senior Manager when necessary.
- Assist with seller agreement registration, including inventory and client data entry in the database.
- Ensure client files are complete and all paperwork is collected promptly.
- Collaborate with the Shipping Assistant to handle shipping requests and quotes, export licenses requests, etc.
- Assist in registering and tracking stock movements within the warehouse and manage temporary releases.
- Support the Shipping Assistant and Senior Manager with client inquiries regarding condition reports prior to auctions.
- Assist the Senior Manager during photography sessions, ensuring accurate inventory tracking.
- Help organize preview lists, exhibition rooms reservations, and event arrangements.
- Assist the Senior Manager and Administrator with payment registration and tracking, and send payment reminders to clients.
- Draft auction post-sale releases, manage advertising processes, and coordinate communication materials.
- Manage social media platforms.
- Perform other relevant tasks as assigned.
- At least 2 years of work in auction houses or art galleries.
- A university bachelor's degree or its equivalent in administration, accounting, or art history.
